Who we are

CallPros ([COMPANY LEGAL NAME], "CallPros", "we", "us") operates a call-routing service. When someone enters a ZIP code or shares their location and picks a service, we give them a phone number that rings several independent local businesses at once. The first business to answer takes the job. CallPros does not perform the service itself and is not the provider.

What we collect

We collect different information depending on how you interact with us.

Callers and site visitors. When you search for a provider, we collect the ZIP code you enter or, if you share your location, the GPS coordinates your browser sends us. We use those coordinates only to look up the nearest ZIP code and city — we do not store the coordinates themselves. When we hand out a phone number for you to call, we also record a pseudonym derived from your IP address: a one-way hash of your IP address, a daily-rotating salt, and the date, so we can spot abuse without keeping your IP address in a form anyone could read back. If you submit a callback request instead of calling, we collect the name, phone number, and optional note you give us.

Calls. Calls placed through a CallPros number are routed by our telephony provider, CallRail. After a call ends, we store the tracking number that was called, which provider's line answered, when the call started, how long it lasted, and whether it was answered or went to voicemail. We do not store your full phone number. Instead we keep only the last four digits and a salted, one-way hash of the full number — enough to recognize a repeat caller for support purposes, not enough to recover the number itself.

Providers. Businesses are listed automatically using public information: business name, phone number, website, address, and rating and review count from Google Places. If a provider creates an account, we additionally collect the email address and a hashed password used to sign in, and, if they subscribe to a preferred listing, a customer and subscription identifier from our payment processor, Stripe. We never receive or store card numbers — Stripe handles that directly. Providers we invite to claim their listing get a single-use pitch token in the invitation link.

Admin. The owner's admin account is protected the same way a provider account is: an email address and a hashed password.

Why we collect it

We collect this information to connect callers with nearby providers, to keep the service working reliably (measuring answer rates, preventing abuse of the phone-number system), to bill providers who choose a preferred subscription, and to respond when someone contacts us. In plain terms: we use what we collect to run the service you asked us to run, to keep it secure, and to meet the contracts we have with providers and payment and telephony partners. We do not use your information to build advertising profiles, and we do not sell it.

How calls work and what is stored

When you call a CallPros number, our telephony provider, CallRail, rings the available providers for that service and area. A recorded greeting explains that the call may be monitored or recorded for quality assurance. Whether or not recording is active at any given time, we store only the call details described above — never a recording transcript or audio file as part of this database, and never your number in the clear.

Cookies and analytics

We use one cookie: a session cookie set when a provider or the admin signs in, so the site knows who is signed in on later requests. We do not use advertising or tracking cookies. For site analytics we use Plausible, a cookieless analytics tool that does not use cookies or track individual visitors across sites.

How long we keep data

We keep information only as long as we need it, and automatically remove or mask it after:

  • Background job records (which can carry a callback request's name and phone number): 30 days after completion.
  • Raw webhook deliveries from our telephony and payment providers: 90 days.
  • Closed callback requests: deleted 90 days after we mark them closed.
  • Open callback requests: if a request sits open for 180 days, we mask the name and phone number rather than delete the request outright, so we can still count demand without keeping contact details.
  • Email delivery logs: 90 days.

Call records (tracking number, provider, timing, and the masked caller identifier described above) are kept as part of our normal business records for as long as the associated provider account or listing is active.

Your rights and how to exercise them

Depending on where you live, you may have the right to ask what personal information we hold about you, to correct it, or to have it deleted. We honor these requests for everyone, not only where required by law. To make a request, use the contact page. We will need enough information to confirm the request is yours (for example, the phone number you called from) before we act on it.

Children's privacy

CallPros is not directed at, and is not intended for use by, anyone under 18. We do not knowingly collect personal information from children.

Changes to this policy

We may update this policy as the service changes. We will update the effective date above when we do. Material changes will be reflected on this page.
